



VACANCY: Admin Assistant

We are recruiting an interesting and broad role providing administrative support to the Director of Rugby and the Human Resources and Finance teams.
Position: Administrative Assistant
Location: West London – Ealing
Hours: Full time with flexibility but ideally early start
Fixed Term Contract: 12 months
Salary: TBC
Key Tasks:
- Support the DOR with planning and diary management, arrange meetings as requested
- Filter and manage emails and calls as appropriate
- Document management – creating, printing, formatting, editing, filing
- Drafting correspondence
- Completion of forms and references
- Record keeping, maintenance of data
- Creating and maintaining an HR employee database
- Employee contract preparation
- Liaison with payroll
- Support the management of the finance system including payment of invoices, record keeping and coding of transactions
- Implementing systems that improve efficiency
- Maintaining HR/DOR filing systems
- Ordering stationery and supplies
- Supporting other teams as required
Experience and Skills:
- Substantial administrative experience in a busy office environment.
- Proficient in Microsoft Word, Excel, and PowerPoint
- Strong written and verbal communication
- Excellent organisaiton skills, ability to multi-task and prioritise,
- Problem-solving and critical thinking
- Accuracy and high attention to detail
- Proactive
- Strong interpersonal skills and the ability to build and maintain relationships across all levels
